If a chart axis goes muddy, you still have the original. Send the compressed copy for email and keep the heavy file for the archive.
Before you upload, delete the obvious fat: unused sheets you will never send, a cover tab that is one screenshot of a dashboard, and pivot caches you can rebuild. Compress is not a substitute for “I pasted the same PNG on twelve tabs.”
After you download, spot-check:
- The cover logo still looks like a logo.
- Axis labels on the chart they care about still read.
- Frozen panes and print areas still make sense—if they break, send the original and ask for a file-share link instead of another compress pass.
Password-protected workbooks may need unlock first—same suite note as the rest of Excel Conversion.
When compress is the wrong lever
Five unused sheets you do not need: Split Excel and send one tab. Compressing a workbook you were about to cut is extra quality risk.
Three monthly files that should be one master: Merge Excel first. Merge makes files larger; compress after if the master still will not mail.
They asked for a PDF snapshot: Excel to PDF. That is a format change, not a shrink.
If the file is large because it is twenty years of history, send a filtered year and keep the archive. Compressing a museum is how you get a muddy museum. Tell the client which year is in the email.
Common misses
Uploading a CSV and expecting magic. The card asks for .xlsx.
Compressing, then wondering why a 400 KB numbers file barely moved. The live FAQ already told you: images and unused styles.
Emailing without opening. A smashed logo on the cover tab is how you get “please resend.”
Running compress PDF on an Excel export you already printed. If they still need formulas, stay in XLSX.
