Paste the messy block only. A whole manuscript plus a table plus a poem in one box makes the scan harder. Isolate the email dump, the PDF extract, or the sheet column that looks drunk.
Collapse extra spaces, tabs, and surplus blank lines. The live card describes that job: words should sit one space apart, and empty-line spam should calm down. Confirm the wording on the page if you read this later.
Scan before you copy back. Prices, SKUs, and code can look “fixed” while a decimal gained a space, or an indent you needed disappeared. Poetry and lyrics often use blank lines on purpose. If a stanza collapsed into a brick, undo and pull that block out.

When the same line will not dedupe
hello and hello are different strings. Unique-line tools compare exact rows. A trailing space, a tab, or a double gap in the middle will keep both copies.

Do not reverse the order as a habit. Deduping first can leave you with two “unique” rows that are the same phrase plus junk spacing. You then collapse and still have twins—or you collapse and wish you had kept a row that only looked duplicate.
Line-break join is a different mismatch. A PDF that wraps “Net 15 days” across two lines is not extra spaces. Joining those lines is the line-break tool. Collapsing spaces on wrapped lines without joining them can leave a mid-sentence gap that still reads as two fragments.
One cleanup mode per problem. Spaces. Then wrap. Then unique rows. Mixing them in one anxious click is how contracts lose indentation and lists lose a row you needed.
What not to collapse
- Markdown tables (alignment spaces)
- Indented code you still need
- Poems or lyrics where blank lines are structure
- ASCII diagrams and padded invoices
- Anything where a double space is a column
Copy those out, clean the prose, paste back. A whitespace pass is blunt on purpose. It is good at email dumps and PDF extracts. It is a bad default on a README.
Client text still follows policy. Only paste what you are allowed to process. Browser tools still leave your machine. When in doubt, use an offline copy, or redact names and amounts first.
