Quotation vs Invoice PDF: Valid-Until, Then Send

Free quotation / estimate generator: Valid-Until-Then-PDF. Line items and expiry—not an invoice. CashPilot tool plus invoice generator as the next job.

Quotation vs Invoice PDF: Valid-Until, Then Send

A free quotation / estimate generator job is an offer PDF with a date it dies—not a bill. Clients mix the two words. Search should not.

Open it: Quotation / Estimate Generator.

This page is Valid-Until-Then-PDF. It is not Free invoice generator online. It is not freelance invoice payment terms (what you print on a bill). Hub: CashPilot Free Tools.

Fill the quote number and valid-until date first, then line items, then Generate PDF. Open the file once. Send the quote—not an invoice numbered like a quote.

Disclosure: Quotation / Estimate Generator is our own CashPilot Tools product. Same template family as invoices on the live site. Facts match the live card as of this writing.

Valid-Until-Then-PDF

        VALID-UNTIL-THEN-PDF
  1. NUMBER → quote number, not invoice number
  2. EXPIRY → +7 / +15 / +30 or a date you type
  3. LINES → qty × rate (amount auto-calculates)
  4. TERMS → payment / bank lines as notes, not a contract
  5. PDF → generate, open, send

If they accept after the date, you send a new quote. You do not silently revive an expired PDF.

What the live card actually does

Live notes (re-check later):

  • Templates (many named styles on the page)
  • Logo, business name, address, tax / reg number
  • Quote number, reference, quote date, valid until
  • Client name, company, address, email
  • Line items, discount (% or fixed), tax rate, shipping
  • Payment terms / bank details and notes (default note mentions validity)
  • Draft auto-saves in this browser
  • Try sample quotation
  • Generate PDF

Related cards on the tool: Invoice Generator, Salary Slip Generator.

Valid-until is not a deposit. If they accept on day 29 of a 30-day quote, you still send a deposit email or an invoice—your choice, not this PDF’s job.

The sample quotation control is for layout. Sending a sample with fake line items to a real client is how you look careless. Replace business name, tax id, and every amount.

Notes that paste Amazon-style legalese you did not read are worse than a short “valid until the date above.” Contracts hold the real fence.

Tax lines on the quote are formatting. They are not a filing. If you are unsure about GST/VAT, leave the rate at 0% until you know—not because CashPilot recommends 0%, because a wrong rate on a PDF is worse than a blank you fix in the next version.

Salary slip is payroll, not a client quote. Wrong generator, wrong story.

Quote is not an invoice

Invoice generator is the bill. Deposit and kill-fee emails start the clock before work. Contracts own the fence. Invoicing software is the seat decision. This URL only formats the estimate.

Common misses

Using an invoice number on a quote. The books will lie later.

Leaving valid-until blank. Then the price is immortal in their inbox.

Sending the PDF from a template still named Teal Classic in the filename. Rename to quote-client-2026-08-21.pdf.
