Why the spreadsheet fails
A sheet named logins.xlsx on Drive is convenient until someone forwards the folder. Anyone with the file can read every password in plain text. Browser “remember password” on a shared laptop is the same class of mistake.
Freelancers collect logins in bursts: CMS, ads, analytics, a staging site, a client’s old WordPress. After three retainers, the sheet is usually out of date and still sitting in email threads.
A vault does not make you immune to phishing. It does stop the file from being the leak. Autofill also reduces reuse of one “freelancer password” across ten clients—an ugly habit that is easy to keep when the sheet is already messy.
Skip the vault only if you have two logins and a paper notebook in a drawer you lock. That is rare once you have three retainers.
How to choose without a fake test
Read official pages. Do not treat this table as a ranked winner. It is a starting map so you know which homepage to open first.

Bitwarden’s site currently lists personal plans (including a free tier), sharing via organization collections, Bitwarden Send for encrypted text and files, import from browsers or other managers, and a self-host option. Confirm live copy.

Vault-Then-Share
VAULT-THEN-SHARE
1. LIST → every client URL you still log into
2. PICK → one vault (read official pages, not rumors)
3. MOVE → import or type; then shred the sheet
4. SHARE → invite / item share as the product documents
5. ROTATE → when a project ends or a device is lost
Pick one vault. Mixing three managers because a Reddit thread liked each for a different reason is how you lose the recovery key.
Import if the product documents an importer. Then open the three logins you use this week and confirm you can still sign in. Only then delete the sheet and empty the trash / Drive versions.
Use a master password you do not reuse on client sites. Store the recovery / emergency kit the way that product documents—not in the same Drive folder that held logins.xlsx.
Share, email, and notepad
Prefer the vault’s invite, collection, or item-share flow. Bitwarden documents Send and organization collections. Proton documents vault sharing and secure links on paid plans. 1Password documents sharing on its own site. Use the flow the vendor wrote.
Emailing a password creates copies in sent mail, backups, and the client’s inbox. If you must send a one-time secret the client already agreed to, rotate it after they confirm they are in.
A browser notepad is not a vault. Drafts belong on Online Notepad Autosave. Client credentials do not.
When the client forbids your vault
A vault does not beat a client who requires their SSO. If the SOW says use their IdP, do that. Some NDAs or security addenda forbid storing credentials in a personal manager.

Rotate when the project ends
When the retainer ends, rotate the passwords you still control, remove the client from any shared collection, and delete items you no longer need. Lost laptop, stolen phone, or a contractor who left mid-project is the same trigger.
If 2FA lived only on one phone, you already have a recovery problem. Confirm whether the vault’s authenticator is on your plan, and keep a recovery path the client accepts.
Need a written fence when a client asks you to “just use the same Google login we all share”? That is still the contract page. This page only gets the secrets out of the spreadsheet.

Do freelancers need a password manager?
If you hold many client logins, yes. Spreadsheets leak to anyone with the file. A vault still yields to a client SSO mandate.
