Increase contrast before upload when you control the scan. Crop borders so OCR does not read desk texture as letters.
After download, walk headings, numbered lists, and merged cells manually. OCR saves typing time; it does not replace a human proof pass on money documents.
Chain with other suite jobs
- OCR to Word → edit → Word to PDF for final send
- Heavy scan → Compress PDF only if email rejects size before OCR (compressing after OCR can hurt text layers—test)
- Photo of a table → Word OCR → export sheet via Word to Excel if cells matter
For Excel-native deliverables from table photos, Excel OCR may fit better than forcing Word first.
Common misses
Uploading a native PDF that already has selectable text—try PDF to Word first.
Choosing plain text when the client needed track changes in Word.
OCRing a password-locked file without unlock.
Sending the DOCX without opening it—OCR often garbles one header row.
