Freelance client feedback spreadsheet tracking keeps every comment as a row with a round and a status—so Slack threads stop being your only memory.
This page is Column-Then-Round. It is not revision round emails (email choreography to open/close a round). It is not scope creep red flags (extra work outside the fence). It is not kickoff email (after yes, before work). Contracts still own how many rounds exist: contracts and scope.
Log each item once. Tag the round. Close the row when done. Price anything marked outside the fence.

Column-Then-Round
COLUMN-THEN-ROUND
1. DELIVER → version labeled (v1, v2)
2. OPEN → revision email (other owner)
3. LOG → one row per feedback item
4. WORK → filter by Round + Status
5. CLOSE → Status = Done; email closes the round
6. EXTRA → Out of scope → change order (other owner)
Emails move the conversation. The sheet stores the inventory. If you only send open-round / close-round notes without a list, consolidated feedback still scatters. If you only keep a sheet without naming rounds in email, clients never see the fence.
Column schema (original value)
Use one tab per project (or one Project column on a master tab). Keep headers stable so filters work.

Severity stops “tiny tweak” and “site redesign” from looking the same in a 40-row dump. Owner stops you from silently owning client copy decisions. Round is what makes the sheet a fence tool instead of an infinite backlog.
Optional extras if the work needs them: Page/URL, Screenshot link, Estimate hours, Invoice line (for paid extras). Do not add ten vanity columns on day one—filters die when nobody fills them.
Status vocabulary you can paste as data-validation:
- New
- In progress
- Waiting on client
- Done
- Deferred (next phase)
- Out of scope (change order)
When Status becomes Out of scope, stop the free edit and use the scope creep reply pattern. The sheet is evidence, not a contract rewrite.
How the sheet talks to revision emails
Sequence that stays clean:
- Deliver v1.
- Send the open-round email with deadline and “one consolidated list” ask (revision emails).
- Translate that list into rows the same day—do not leave items only in the inbox.
- Work filtered by Round = 1 and Status ≠ Done.
- Close-round email when rows for that round are Done or clearly Deferred / Out of scope.
- If rounds are spent, quote before opening Round 3 as free labor. Pricing still lives on freelance pricing.
Video-call feedback still needs rows. Convert Loom or Zoom notes the same day or the round never closes—same rule as the email owner, now enforced by empty Description cells you refuse to leave blank.
Shared Google Sheets / Excel Online is fine. Private sheet + emailed screenshots also works. The schema matters more than the brand of spreadsheet.

Imagine Round 1 of 2 on a five-page brochure PDF:

You can close Round 1 for items you own while FB-003 waits—say so in the close email. FB-004 never becomes a free Round 2 item just because it sat on the same sheet.
Deposit and start logistics stay elsewhere: deposit emails, kickoff. Document order stays on contract vs invoice.
